Summary

The Web-Based Event Scheduler allows for scheduling of presets by time and day, providing a way to automate routing, source selection, and volume changes to account for special events, holidays, or other automatic, predetermined configuration needs.

The Control Server must be designated as the Event Server for this Composer site file. Right click the Control Server, select Control Server Unit Properties. Check the box to Enable event server in this unit. Click OK. Now the Control Server shows the Event Server icon, instead of the Symetrix DSP.

To schedule an event, you must first Store Presets. After you have one or more Presets created, you can access the Web-Based Event Scheduler through the Control Server.

First, the Web-Based Event Scheduler app will need to be a licensed configuration. This is done in the Control Servers Administration settings: Menu>Management>Applications. Refer to the Help file section Control Server>Administrator Login>Applications for more information.

Next, the Web-Based Event Scheduler app will need to be selected as a User Allowed Configuration for all users that will need access to it. This is done in the Control Servers Administration settings: Menu>Management>Users. Refer to the Help file section Control Server>Administrator Login>Users for more information.

Once licensed and user permissions are setup, the Web Based Event Scheduler should then show up as an option in the assigned Users' Dashboard.

The Event Scheduler automatically opens to the current day's date in the Month view:

From this main window, you have many ways to navigate and view the calendar of events as well as set the unit's internal clock, which drives the automatic recall of events.

Setting the Unit Date & Time

To ensure your scheduled events trigger at their intended times, you must first set the unit's time and date. To set the unit's time, click Menu, select “Set Unit Clock”. This will bring up the Set Unit Clock dialog:

From here, the unit's time and date can be set. There is an option to automatically sync the unit's date and time to the PC.

Note: If the system is configured to sync to NTP (set in the Unit Properties within the Composer Site File), setting the clock here manually does not apply.

You can toggle between Day, Week, and Month views using their respective buttons along the top left of the calendar:

You can scroll through the calendar using the Today button and the left and right arrows at the top right of the calendar itself under the Menu button.

Add Event

To add an Event, click on the desired day in the calendar. You can also create an Event by clicking Menu, “New Event”. Both options will bring up the Add Event dialog:

The Add Event dialog allows each Event to have:

  1. Event Name: This should be a unique, descriptive, and friendly label for your Event.

  2. Label: You may give the Event a label to help categorize it and even distinguish types with color on the calendar. Category names and colors may be customized by clicking on the Menu button, “Edit Labels”:

  1. Preset: designate the preset this Event will recall.

  2. Time: enter the time the Event will recall.

  3. Recurrence Type: events may be a single occurrence or follow a recurring pattern.

a. Single Event: this will set up an event as a single unique occurrence:

The only option to set for a One Time Event is the Time and Date on which it occurs. Each Time and Date field has a dropdown menu.

b. Recurring Event: Allows user to select Weekdays or Whitelist for recurring events. With Weekdays selected, there is a button to select Blacklist dates as well as the 7-weekday names to schedule recurring events:

Whitelist option includes an Add/Remove button that is used to add or remove dates into recurring events. When OK is selected, the calendar will automatically populate with all recurring or single events.

To add dates to the Blacklist or Whitelist, click the Add/Remove button. It will show the Event Schedulers Month view. Click to select the dates to Whitelist or Blacklist. When finished, click the blinking red “Done” button at the top right corner to save your list.

Notes: This is a plain text field where notes can be stored for the Event to help with organization.

Edit Event

To edit an Event, click on the desired Event in the calendar. This will bring up the Edit Event dialog:

Delete Event

To delete an Event, select the Event in the calendar and click the Delete button.

This will bring up a warning dialog. Click Yes, and the Event will disappear from the calendar. For recurring events it will ask you if you wish to delete the single selected occurrence or the entire series.
